Run the whole meet,
not just the results

PoolDeck is one system for everyone on deck. Officials call disqualifications on a phone instead of a paper slip. Host admins seed, lock and run the meet from one screen. Coaches manage their own lineup. And every family in the stands follows it live.

Follow a meet live without signing up. Every clip below is a recording of the real app.

No more paper slips

Digital DQs, from the deck to the referee

A disqualification stops being a slip of paper that has to survive a walk to the scoring table.

The stroke & turn official taps the lane, confirms the swimmer, and picks from the infraction codes that actually apply to that stroke — backstroke codes on a backstroke heat, nothing else. A short note, one tap to sign, and the call is in.

It stays provisional. The call lands in the referee's queue with the swimmer, the event, the code and the reason already attached, and the referee confirms it or waves it off from the same screen. The result is on the record before the next heat is finished — no slips to chase, no keying anything in afterwards, and a timestamped trail of who called what.

  • Infraction codes filtered to the stroke being swum
  • One-tap signature — no clipboard, no handwriting
  • Provisional until the referee rules on it
  • Every call attributed and timestamped

For the host team

Seed 84 events in one pass

The admin app is where a meet is built, run and closed out — and it is the same screen all day.

Import the program, seed the entire meet in a single pass — heats and lanes across every event — then publish the heat sheet. Entries, seeding and results each close with an explicit declaration, and the database enforces it rather than the screen: once entries are closed, a stray import, the timing relay and the officials' app are all refused too.

Reopening a lock is always possible, always needs a reason, and is always recorded. Results land as the relay posts them, and the meet gets marked completed from the same page it started on.

  • Whole-program seeding — heats and lanes in one operation
  • Entry, seeding and result locks enforced in the database
  • Reopening a lock requires a reason and is recorded
  • Live results, scoring and reports as the meet runs
Draft to completed: seeding, locking entries, results, done

Mid-meet

A scratch at nine is a change. At eleven it's a request.

Coaches run their own deck — until the meet is live, and then the host gets the last word.

A coach can scratch a swimmer or rework their lineup from their own screen, and while entries are open that applies immediately. The moment the meet goes active, the same action becomes a request instead of a change, so nobody quietly rewrites a heat that is about to swim.

The host sees the request on the program page with the swimmer, event and heat attached, and approves or declines it before the heat runs. Everyone is looking at the same deck a second later.

For visiting coaches

From the host's link to submitted entries

A visiting coach doesn't need setting up in advance — the invite is the setup, and the entries come straight out of the software the team already runs.

The host sends a link. The coach opens it, gives their name and accepts — no account to provision, no roster to re-key — and lands on their own page for that meet, with what it still wants from them at the top.

Entries get built against the host's actual event list, not a printed sheet: the meet exports as an events file that loads into Team Manager or SwimTopia, so the numbers, ages and strokes a coach enters against are the ones the meet is really running.

The roster and entry file go back up exactly as that software exports them. Every entry is checked against the meet first — the events exist, the ages qualify, the swimmers are on the roster — and the whole import is shown as a preview. Nothing is written until the coach commits it. Then one button submits the entries to the host team, who is notified straight away.

  • An emailed link is the whole onboarding
  • The host’s event list, downloadable for Team Manager or SwimTopia
  • Entries validated against the meet before anything is written
  • Submitted to the host, who is notified straight away

For the stands

Families see it the moment it happens

The reason the rest of it matters: the parents in the bleachers get a meet that keeps up with them.

The timeline follows the meet heat by heat, so families know how far along it is without counting events off a printed heat sheet. Filter it to your own swimmers and it becomes a schedule: exactly when they are up, and which lane.

Results appear the moment they land, with place, time and time drop already worked out. Getting set up is two questions and picking your club.
